Free Live HubSpot Audit – Internal Process Guide
This process outlines how to conduct Hubbly’s Free Live HubSpot Audit — a 30-minute value-first session designed to identify opportunities, fix simple issues live, and introduce prospects to new or underused HubSpot features.
Overview
The Live Audit is not a sales call — it’s a hands-on working session.
We use the client’s HubSpot portal and their form responses to guide the conversation, fix small issues live, and demonstrate our expertise.
Each session should leave the client with:

A better understanding of what’s working (and what’s not)

A few practical improvements made in real time

Awareness of relevant HubSpot features or betas
-
Confidence that Hubbly can help them long-term
Step-by-Step Process
1. Prep for the Call

Review the form submission for key pain points and notes.

Identify 2–3 focus areas based on what they listed (e.g., CRM setup, pipeline logic, automations, or reporting).

Confirm portal access if available; if not, use screen share.

Have the client’s Hub ID ready and note which Hubs they’re using.
2. Start the Call
Keep it light and collaborative.
Example intro:
“Thanks for taking the time to do this with us today. We’ll take a quick look at the areas you mentioned in your form, troubleshoot a few things live, and show you a couple of tools or betas that might make your life easier in HubSpot.”
Set expectations:

Session length: ~30 minutes

Focus: small, high-impact improvements (not a full rebuild)

Follow-up: recap + resources sent afterward
3. Use the Form as Your Agenda
Let the form guide the conversation:

Review each pain point the client mentioned.

Ask quick clarifying questions as you go.

Prioritize easy wins first — aim to fix at least one issue live.
4. Perform the Quick Audit + Live Fixes

Walk through key areas in the client’s portal (CRM, Pipelines, Workflows, Reports).

Identify obvious gaps or misconfigurations and implement quick fixes if possible.

Keep commentary educational — explain why you’re changing something.

Reinforce good practices along the way (“You’re already doing this part right — nice work!”).
If there’s time:

Opt them into relevant HubSpot betas (e.g., Guided Actions, Marketing Studio, AI tools, etc.).

Demonstrate one “hidden gem” feature they may not know exists.
5. Wrap Up the Call
End with a light recap:

Summarize what you reviewed and what was fixed.

Highlight any opportunities you didn’t have time to dive into.

Let them know they’ll receive a follow-up email with links and next steps.
Example closing:
“We covered a lot today! I’ll send a short recap with what we looked at, some helpful links, and a few optional next steps to keep your HubSpot in great shape.”
6. Send the Follow-Up Email
Within 24 hours, send a brief recap that includes:
